Standard Website Content Guidelines

When you order a website from us, we will request your text, images, and branding assets at specific stages of the development process.

This guide is designed to help you prepare and submit your content in formats that ensure a smooth, efficient build. Following these guidelines helps us keep your project on schedule and ensures your finished website looks sharp, professional, and clear on all screen sizes.

Disclaimer and Content Compliance

Please only submit content (images, text, graphics, or video) that you legally own, or have explicit legal permission and commercial licensing to use. We cannot accept or work with materials that violate a third party's intellectual property rights.

Additionally, to protect our team and ensure compliance with New Zealand law, we do not accept or host content that:

  • Promotes or displays nudity or adult content unsuitable for audiences under 18.
  • Displays, supports, or intends to incite violence, crime, or hatred based on race, gender, sexual orientation, or identity.
  • Contains graphic details of violence, death, or content classified as "gore".
  • Is intended to spread propaganda or hatred against the New Zealand government or the rule of law, or threatens national security.
  • Contains any form of child abuse or exploitation, or general abuse targeted at any individual.
  • Is otherwise prohibited from online publication under New Zealand law.
We reserve absolute discretion to refuse to work with content that violates these internal safety policies. Where necessary, we will fully cooperate with New Zealand and international law enforcement agencies regarding requests to access data provided for website publication.

Images

Images bring your website to life, showcasing your team, products, and brand values. You can use your own photography or high-quality stock images with appropriate commercial licensing.

Tip: If you need free, legally safe options, platforms like Unsplash or Pexels are great places to start.

Resolution and Quality

When choosing images for your website:

  • Aim for high resolution: Where possible, send images that are at least 1920 pixels wide. This ensures your imagery looks sharp on standard desktop monitors and mobile devices alike.
  • Avoid low-res layouts: Lower-resolution images or screenshots will appear blurry or pixelated when stretched to fit a modern website layout, which hurts your brand's credibility.

Acceptable Image Formats

We accept the following standard image file formats:

  • .WEBP (Highly recommended for web performance)
  • .PNG (Best for images that require transparent backgrounds)
  • .JPEG / .JPG (Standard for regular photography)
  • .GIF (For simple animations)
Note: Proprietary format (like Apple's .HEIC or raw camera files) cannot be read directly by web servers. Please use standard online tools to convert them to .JPEG or .PNG before sending.

Text and Website Copy

Your text copy provides your visitors with the essential details about your business. To help us implement your words accurately, please structure your documents using these steps:

Formatting and Structure

When working on your documents:

  • Keep formatting simple: Use basic bold, italics, or underlines to highlight text where necessary.
  • Use clear headings: Clearly label your text with heading levels (e.g., Heading 1 for page titles, Heading 2 for main sections, Heading 3 for sub-sections). This helps us build an organised layout that is easy for both human users and Google (and other search engines) to read.
  • Stick to system fonts: Please write your copy using the default font of your word processor (like Arial or Calibri). If you use a specialised, downloaded font, we won't be able to view it correctly unless it is embedded into the file.

Indicating Image Placement

If a specific image needs to sit next to a specific paragraph of text, don't paste the actual image into the document. Instead, drop the exact image file name in brackets as a placeholder right where you want it to go.

Example: "Our team has over 15 years of industry experience [insert: team-photo-2026.jpg]. We pride ourselves on..."

Accepted Text Formats

To ensure text characters and structures don't break across different computers, please submit your text in one of the following ways:

  • Google Docs link (Ensure sharing permissions are set so our team can access it).
  • Microsoft Word (in the default .docx format).
  • Selectable text PDF (.pdf)
    Note for PDF: 
    If you submit a PDF, it must be a digitally generated document where text can be highlighted and copied. We cannot accept scanned PDFs (where a physical page was scanned as an image), as our team cannot extract the text for development.

Logos and Brand Graphics

Your logo is the anchor of your website's design. To make sure it looks flawless on everything from a mobile phone to a 4K display, we need access to high-quality graphic files.

Formats We Accept

We strongly recommend sending a vector file of your logo. Vector files can be scaled to any size without losing quality or becoming blurry. Please submit your logo and graphics in one of the following formats:

  • .SVG (Ideal for web)
  • .AI (Adobe Illustrator)
  • .EPS
  • .PDF (Only if it was originally saved out of a vector software like Illustrator or Canva)
If you do not have a vector version of your logo, you may send a high-resolution .PNG with a transparent background, provided the dimensions are large enough to display clearly without distortion.

A Quick Note on File Names

Before sending anything through to us, please take a quick moment to look at your file names. Files named IMG_8472.jpg or Document_v2_final.pdf quickly become confusing during development.

Whenever possible, give your files descriptive, clear names, For example:

  • about-us-header.jpg
  • homepage-copy.docs
  • primary-company-logo.svg
This simple step dramatically speeds up our building process and reduces the chances of content being misplaced.
